Vendor Rules & Policies
Colorado Card Convention is committed to providing a professional, safe and welcoming environment for collectors, vendors, families and guests. By purchasing vendor space and participating in a Colorado Card Convention event, the purchaser and anyone attending under their vendor reservation agree to the following rules and policies.
VENDOR CONDUCT
- Vendors, employees, helpers and guests associated with a vendor are expected to conduct themselves professionally and respectfully. Harassment, threatening behavior, abusive conduct or behavior that significantly interferes with another vendor or attendee's experience will not be tolerated.
- Vendors must comply with all applicable federal, state and local laws and regulations, venue policies, fire and safety requirements, and reasonable instructions from Colorado Card Convention ("CCC") staff or venue personnel.
- CCC reserves the right to remove any vendor or individual whose conduct, merchandise or activities violate these policies or create a safety concern or significant disruption to the event. Removal for a policy violation does not entitle the vendor to a refund or credit.
TABLE RESERVATIONS, TRANSFERS & CANCELLATIONS
- Vendor spaces may not be sold, transferred, shared or sublet to another vendor without prior written approval from CCC.
- Vendors who cancel more than thirty (30) days before the event start date are eligible for a refund of their vendor fees, less a $50 cancellation and administrative fee per reservation.
- Vendor fees are non-refundable within thirty (30) days of the event start date.
- For cancellations made within thirty (30) days of the event, CCC may, at its discretion, offer a credit toward a future CCC event if the cancelled vendor space is successfully resold. Any approved credit must be used within nine (9) months of the original event date and has no cash value.
- Vendors who fail to attend without notifying CCC prior to the event will not receive a refund or credit and may lose eligibility to participate in future CCC events.
- Table assignments and floor plans are subject to reasonable adjustment when necessary for safety, venue requirements or event operations. CCC will make reasonable efforts to preserve the location and category originally purchased.
VENDOR CHECK-IN, BADGES & SHOW HOURS
- All vendors must check in at the designated Vendor Registration area before entering the show floor for setup. Specific check-in, load-in and setup times will be communicated prior to each event.
- Vendors may be required to present a valid photo ID at check-in to verify their reservation.
- Vendor credentials must be worn and visible while accessing the show floor during vendor-only hours.
- Each standard vendor table includes two (2) Vendor Badges unless otherwise specified in the purchased table or booth package.
- Vendor Badges are intended only for the vendor and individuals actively assisting with that vendor's booth. Vendor credentials may not be sold, transferred or provided to attendees for early or unauthorized access to the event.
- Vendors are expected to have their tables substantially set up and ready for customers by the published attendee opening time.
- Vendors arriving after the designated vendor check-in period may be required to wait until attendee entry has been completed before accessing the show floor.
TABLES, CHAIRS & VENDOR SPACE
- Each standard vendor table is a 6-foot table with black linen and one (1) chair, unless otherwise specified in the purchased package.
- Additional chairs may be available upon request and subject to availability and venue limitations.
- Vendors must keep merchandise, displays, cases, chairs and other materials within their purchased vendor footprint. Items may not extend into aisles, neighboring vendor spaces, emergency routes or exits.
- Vendors may not relocate, exchange or substantially reposition tables without approval from CCC staff.
- Vendor displays must be safe, professional and reasonable in size and appearance. CCC may require modification or removal of any display that creates a safety issue, obstructs attendee traffic or visibility, interferes with another vendor, or violates venue requirements.
- Vendors may not attach merchandise, signage or displays to venue walls, floors or other property except as specifically permitted by the venue.
- Amplified speakers, microphones or other sound equipment may not be used without prior approval from CCC.
DISPLAY CASE RENTALS
- Display cases may be available for rent for the duration of the event. Availability and pricing will be provided during vendor registration or at the event while supplies last.
- Rental display cases do not include locks. Vendors are responsible for monitoring and securing merchandise placed in rented display cases.
- Rental cases remain the property of CCC or its rental provider and must be returned in substantially the same condition in which they were received.
- Vendors may be responsible for the repair or replacement cost of rented equipment that is lost or damaged beyond ordinary use.
PERMITTED & PROHIBITED MERCHANDISE
- Appropriate merchandise includes sports cards, trading cards, collectible card games, memorabilia, autographs, comic books, action figures, Funko Pops, artwork, video games, vinyl records and other merchandise reasonably related to the collectibles hobby.
- CCC reserves the right to determine whether merchandise is appropriate for the event.
- Vendors may not sell food or beverages without prior written authorization from CCC and, when applicable, the venue.
- Counterfeit, stolen, fraudulent, knowingly misrepresented or intentionally altered/tampered merchandise is strictly prohibited.
- Vendors found knowingly offering prohibited merchandise may be immediately removed from the event without refund or credit and may be permanently prohibited from participating in future CCC events.
SALES, LICENSING & TAXES
- Vendors are solely responsible for complying with applicable federal, state and local requirements relating to their business activities, including licensing, permits and the collection, reporting and remittance of applicable sales taxes.
- Transactions between vendors and attendees are solely between those parties. CCC is not responsible for disputes involving purchases, trades, payments, authenticity, condition, value or representations made during a transaction.
- Vendors are responsible for providing their own payment-processing equipment, internet or cellular connectivity and cash-handling arrangements.
SAFETY & SECURITY
- Firearms, weapons and other items prohibited by the venue are not permitted.
- Gambling and unauthorized games of chance are prohibited. Contests, raffles, drawings, spinning wheels or other promotional games involving payment or purchase must receive prior written approval from CCC.
- Vendors may not block or obstruct fire exits, emergency equipment, doors, aisles or designated safety areas.
- Vendors are responsible for the security of their inventory, equipment, cash and personal belongings at all times, including during setup, show hours and teardown.
- Vendors should not leave high-value merchandise unattended.
- Any merchandise or equipment left in the venue outside of show hours remains at the vendor's own risk, regardless of whether venue or event security is present.
- CCC and the venue are not responsible for lost, stolen, misplaced or damaged merchandise, equipment or personal property except to the extent otherwise required by law.
EVENT OPERATIONS
- Vendors may not engage in activities that unreasonably disrupt attendees, neighboring vendors or event operations.
- Vendors must follow published setup and teardown schedules and may not begin dismantling their booth in a manner that significantly disrupts the event before the published vendor teardown time without approval from CCC.
- Vendors are responsible for removing their merchandise, displays, trash and personal property from their vendor area following the event.
- Vendors are responsible for any damage they or their representatives cause to venue property, tables, equipment or other event property.
LIABILITY
- Vendors participate in CCC events at their own risk and are responsible for the actions of their employees, helpers, representatives and guests.
- To the extent permitted by law, vendors agree to be responsible for claims, damages, losses or expenses resulting from their own actions, negligence, merchandise, employees or representatives and agree to indemnify and hold harmless Colorado Card Convention, its owners, affiliates, employees, contractors and the event venue from such claims.
PHOTOGRAPHY & PROMOTION
- Photography and video recording may occur throughout CCC events. By participating, vendors acknowledge that photographs or video containing their booth, displays or individuals associated with their booth may appear in reasonable promotional, advertising, social media or event-related materials produced by CCC.
- Vendors are encouraged to promote their participation in Colorado Card Convention. CCC may also feature participating vendors through its website, social media channels, event materials and other promotional platforms.
POLICY ENFORCEMENT
- CCC reserves the right to reasonably interpret, enforce, update or clarify these policies when necessary for event operations, safety, legal compliance or venue requirements.
- Failure to comply with these policies may result in warnings, removal from the event without refund or credit, and/or loss of eligibility to participate in future Colorado Card Convention events.
VENDOR ACKNOWLEDGMENT
By purchasing vendor space at a Colorado Card Convention event, the purchaser acknowledges that they have reviewed, understand and agree to abide by the Colorado Card Convention Vendor Rules & Policies.
